EvaluationsHub User Roles & Access: Internal, External & More

Main User Profiles

EvaluationsHub is designed to streamline evaluation processes across organizations while ensuring flexible access control for different types of users. The platform recognizes four distinct user profiles, each with specific roles and permissions. This guide explains the differences between these profiles and how they interact within EvaluationsHub.

πŸ”Ή 1. The Internal Company (Primary Account Owner)

The Internal Company is the organization that subscribes to EvaluationsHub and has full administrative control over the platform. This company is responsible for:

βœ… Managing the subscription and branding of their EvaluationsHub instance.
βœ… Adding and managing external users (e.g., suppliers, customers, consultants, or researchers).
βœ… Controlling evaluation methods, workflows, and reporting.
βœ… Defining data access levels for consultants and third parties.

πŸ’‘ The internal company is the only profile that pays for the platform.

πŸ”Ή 2. The External Company (Invited to Join, No Subscription Required)

The External Company consists of suppliers, customers, or other business partners who are invited by the Internal Company to participate in evaluations.

βœ” They do not need to pay for the platformβ€”access is provided by the Internal Company.
βœ” Their primary role is to complete evaluations, provide feedback, and engage in assessment processes.
βœ” They have restricted access, meaning they can only see their own evaluations and related workflows.

πŸ’‘ External companies cannot invite additional users or manage accounts unless explicitly given permission by the Internal Company. You can request additional business units under your company and this will need to be approved by the organization that has added you.

Idea
You can create your own EvaluationsHub platform and add your accounts by creating a new domain:
1. Log out of EvaluationsHub
2. Register a new account and a new custom domain via https://evaluationshub.co/#/plans

πŸ”Ή 3. The Consultant or Advisory Firm

Consultants and advisory firms can be added by the Internal Company to support evaluation processes, offering expertise in setting up frameworks, analyzing data, and guiding strategic decisions.

πŸ”Έ Key Features for Consultants:

  • Can be granted selective access to accounts, evaluations, and reports.
  • Help connect the dots between evaluations, performance, and strategy.
  • Serve as a starting point for deeper consulting engagements based on evaluation insights.

πŸ”Έ Use Case for Strategy Consultants:

  • A consultant working for a supplier can monitor performance across the supplier’s customers to identify areas for improvement.

πŸ’‘ The Internal Company has full control over which accounts and data a consultant can access.

πŸ”Ή 4. The Third Party or Researcher Profile

The Researcher Profile is designed for third-party organizations collecting or analyzing data within EvaluationsHub. This is particularly useful for:

πŸ”Ή Industry Benchmarking Studies
πŸ”Ή Academic Research Projects
πŸ”Ή External Performance Audits

What Researchers Can Do:
βœ” Collect and analyze evaluation data.
βœ” Gain restricted access to datasets based on permissions set by the Internal Company.
βœ” Conduct surveys or assessments within the platform.

πŸ’‘ Researchers typically have read-only access and cannot modify evaluations or company data.

πŸ”Ή How Users Are Added to EvaluationsHub

πŸ“Œ The Internal Company is responsible for adding all other users (external companies, consultants, and researchers).

βœ… External Companies are invited to complete evaluations.
βœ… Consultants are assigned permissions to assist with evaluation setup, analysis, and strategy.
βœ… Researchers are given controlled access to specific datasets.

πŸ”Ή Choosing the Right User Profile

If you are...
βœ” A business running evaluations β†’ You need an Internal Company account.
βœ” A supplier or customer β†’ You will be added as an External Company user.
βœ” A consultant or advisor β†’ The Internal Company can grant you access to help analyze data and optimize evaluation processes.
βœ” A third-party researcher β†’ You will have controlled access for data collection and reporting.
